Program Overview
1. Purpose
The Hosted Buyer Program is designed to facilitate valuable business connections during IBE 2025.
Entitlement: Approved participants will receive a 3-day, 2-night stay at a designated 4-star hotel
2. Eligibility & Application Process
Eligibility: Participation is open to qualified applicants meeting the program criteria.
(Limited to two person per company)
Application Submission: Interested parties must complete the application form provided by IBE 2025.
Approval Basis: Applications are reviewed on a first-come, first-served basis. A
Notification: Approved applicants will receive an official approval email detailing the next steps.
3. Program Criteria
Applicants must meet the following criteria to be considered for the Hosted Buyer Program:
Industry Focus: Applicants must be established professionals or businesses within the beauty industry.
Professional Verification: Applicants should be able to provide verifiable business credentials (e.g., business licenses, company registration, or other professional documentation) that demonstrate their engagement in the beauty sector.
4. Deposit Payment
Deposit Requirement: A deposit of 450 MYR is required upon receiving the approval email to secure your place in the program.
Payment Process: Detailed instructions for the deposit payment will be provided via email. The deposit confirms participation and initiates the subsequent business matching process.
5. Business Meetings Requirement
Minimum Meetings: Each participant must schedule and attend *at least eight (8) business meetings* with suitable exhibitors during IBE 2025.
Verification: Proof of attendance (such as meeting confirmations or exhibitor acknowledgments) must be provided to qualify for the deposit refund.
Importance: These meetings are a core component of the program, designed to maximize networking and business opportunities.
6. Refund of Deposit
Refund Conditions: The 450 MYR deposit will be fully refunded upon successful completion of the required four business meetings.
Forfeiture: Failure to complete the minimum number of meetings will result in forfeiture of the deposit.
Processing Time: Refunds will be processed within a reasonable period after verification of completed meetings (e.g., within 30 days).
7. Hotel Accommodation
Inclusion: The program includes a 3D2N stay at a selected 4-star hotel.
Confirmation: Booking confirmation details will be provided following the completion of the deposit payment.
Conditions: Accommodation is subject to the hotel’s policies, including check-in and check-out times, and any additional charges incurred will be the responsibility of the participant.
8. Program Process Summary
Apply: Submit the complete application form.
Wait for Approval: Applications will be reviewed on a first-come, first-served basis.
Approval Notification: Approved applicants will receive an email with further instructions.
Deposit Payment: Pay the required deposit of 450 MYR.
Business Matching: Participate in the business matching process to schedule meetings with suitable exhibitors.
Hotel Booking: Receive the confirmation of your hotel accommodation.
Completion: Attend at least four business meetings to qualify for the deposit refund.
9. Cancellation Policy
Early Cancellation (30 days or more before the first day of IBE 2025):
– Participants who cancel at least 30 days before the first day of IBE 2025 are eligible for a 100% refund of the deposit.
Late Cancellation (15–29 days before the first day of IBE 2025):
– Participants who cancel between 15 and 29 days before the first day of IBE 2025 are eligible for a 50% refund of the deposit.
No Refunds (14 days or less before the first day of IBE 2025):
– Cancellations made 14 days or less before the first day of IBE 2025 will not be eligible for any refund.
Cancellation Process:
– Participants must submit a written cancellation request via email to the event organizer, [email protected].
– Refunds (if applicable) will be processed within 30 days after the cancellation request is approved.
10. Cancellation and Changes by the Organiser
Organizer’s Rights: IBE 2025 reserves the right to modify or cancel the program at any time with prior notice.
Participant Cancellation: Cancellations by participants may be subject to fees or forfeiture of benefits, including the deposit, as per the program’s cancellation policy.
Refunds in Cancellation: In the event of a program cancellation by the organizers, participants will receive a full refund of any deposits paid.
11. Liability and Indemnification
Liability: IBE 2025 and its affiliates are not liable for any indirect or consequential damages arising from participation in this program.
Indemnity: Participants agree to indemnify and hold harmless IBE 2025, its organizers, and associated parties from any claims arising out of their participation.
12. Acceptance of Terms
Binding Agreement: By applying and participating in the Hosted Buyer Program, applicants agree to abide by these Terms & Conditions.
Non-Compliance: Failure to comply with any of these terms may result in removal from the program and forfeiture of all associated benefits.
13. Governing Law
Jurisdiction: These Terms & Conditions shall be governed by and construed in accordance with the laws of Malaysia.
Dispute Resolution: Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts in Malaysia.
